Programs & Administration Assistant

The Visual Arts Forum is seeking to hire a Programs & Administration Assistant to join its team and support the follow-up of programs and activities, as well as daily administrative and operational tasks.

Job Purpose:

Support the Executive Director in monitoring programs, activities, and daily administrative tasks, contribute to coordinating work between staff, trainers/artists, students, parents/guardians, volunteers, and partners, and help ensure activities and events are implemented in a well-organized manner and on time.

Main Responsibilities

Follow up and organize all institutional logistical, administrative, and operational matters across all branches, including the Ramallah Recreational Complex headquarters and the Kafr ‘Aqab / “Sath Hhaba” branch, in direct coordination with the organization’s Director.

Provide daily support to the organization’s Director in following up programs, activities, and administrative/organizational tasks, ensuring work runs according to plans and scheduled timelines.

Coordinate logistical arrangements to implement programs, workshops, courses, exhibitions, events, and daily and seasonal activities, including preparing venues, materials, tools, and all required needs.

Coordinate and follow up with the Visual Arts School Director regarding all matters related to trainers/artists and students, including schedules, attendance, registration through the electronic registration system, data, files, materials, and logistical needs.

Organize, file, and update the institution’s administrative paper and electronic files; prepare and follow up administrative correspondences, templates, invitations, mailing lists, and concise reports.

Follow up on all administrative staff matters, including files, contracts, attendance, leave, evaluations, documentation, and procedures related to employees, in coordination with the Financial and Administrative Manager and the organization’s Director.

Follow up on recruitment, training, and volunteering procedures, including job announcements, receiving and organizing applications, communicating with candidates, scheduling interviews, and completing onboarding or offboarding processes and handing over tasks.

Follow up purchasing requests for technical materials, stationery, and operational needs; monitor stock, assets, and shortages across all branches.

Follow up maintenance, setup, cleaning, and services, as well as operational and technical needs; coordinate with suppliers and service providers when needed.

Coordinate between the Ramallah headquarters and the Kafr ‘Aqab / “Sath Hhaba” branch, including transferring materials, tools, documents, and required needs when necessary.

Collect and organize photos, information, and activity data; ensure documentation is completed and prepare concise weekly and monthly reports about work progress and activities.

Perform any other administrative, organizational, or logistical tasks assigned by the organization’s Director to support smooth operations across the institution and its branches.

Required Qualifications

Applicant must be a fresh graduate or have up to two years of work experience in administration, program coordination, cultural work, education, or community work.

A Diploma or Bachelor’s degree in Administration, Arts, Education, Social Sciences, Human Resources, or any related field.

Good skills in organization, follow-up, and time management.

Ability to use a computer, email, and Microsoft Office, especially Word and Excel, or Google Workspace.

Good communication skills and ability to work within a team.

Ability to prepare lists, schedules, and concise administrative reports.

Attention to detail, initiative, responsibility, and the ability to handle and follow up multiple tasks.

Fluent in Arabic (writing and speaking). English knowledge is an added advantage.

Ability to travel between Ramallah and Kafr ‘Aqab when needed.

Interest in arts and culture, and in working with children and youth.

Added Advantages (Preferred)

Training or volunteer experience in a civil society, cultural, or educational institution.

Basic experience in organizing activities, exhibitions, and events.

Basic knowledge of documentation, human resources, or purchasing and inventory.

Interest in or prior knowledge of the field of visual arts and art education.
